735: Central Office Staff Application for Leaves and Vacation Time

Responsible Administrator: Associate Superintendent Human Resources

 

PURPOSE

This Administrative Procedure is to ensure that all requests for leaves are processed in an efficient and equitable manner.

The Division’s administration requires timely information to allow appropriate scheduling of annual vacation periods to ensure Central Office business operations can continue.

PROCESS

The appropriate Central Office administrator, as outlined below, is responsible for approving application for leaves. The Superintendent or designate will provide guidance to Senior Executive and employees regarding vacation requests.

PROCEDURE

Application for Leaves:

1. The Superintendent shall approve all requests for leaves by the Deputy Superintendent, the Associate Superintendent Human Resources and the Associate Superintendent Corporate Services.

Vacation Requests:

2. The Senior Executive team are responsible for approving all leave requests for those employees reporting directly to him/her.

3. The department Manager, Director or Supervisor is responsible for approving all leave requests for those employees reporting directly to him/her.

4. All vacation requests are to be made in writing to the supervisor via email and leave entered into the HRIS system upon approval.

5. Supervisors will ensure that proper procedures are followed and that appropriate staff have been consulted before making their decision.

6. Vacation requests for the months of July and August are to be submitted to the supervisor by April 15.

7. All other vacation requests should be given to the employee’s immediate supervisor at least one month in advance of the proposed vacation date.
